Private pages

Open pages only to people you invite or to your organization's network.

Updated 27 October 202610 min read

In this guide you'll learn how to open a page not to everyone, but only to certain people (for example dealers) or to visitors from your organization's network.

Your site must support this feature

Private pages are a new feature of the admin panel. They only work if the site includes the private page gate, which shows the sign-in screen and checks access. The standard site template doesn't have this gate yet. On a site without it, a private page shows as "page not found" to everyone, group members included. Before using this feature, have your development team confirm that your site supports it.

How it works

  • Every page has an access setting: Public or Private.
  • A private page is opened by access groups. A private page must have at least one group.
  • Subpages of a private page are private too and can't be made public on their own.
  • Language versions are set separately: making /iletisim private doesn't make /en/contact private.
  • Private pages don't appear in the sitemap, site search, menus or page lists.

Two group types

Who opens itPeople you inviteVisitors from the IP addresses you list

A group's type can't be changed after it's created. You can attach several groups to one page; for example a network group for the office and a person group for staff outside it.

Open the screen

Open the Site access groups card on the Management screen. The card has two tabs: Groups and Sign-in. The Private tab on the page list also shows private pages.

ActionRequired permission (Private pages group)

The Sign-in tab also needs Parameter management › List. See Users and roles.

Open a page to dealers

Start the wizard

On the Site access groups › Groups tab, click Create private page.

Choose the page

In the Which page should be private? step, search for the page by address or title, for example /dealers. Only published pages are listed. If the page doesn't exist yet, create and publish it first.

Choose who can open it

In the Who can open it? step, choose People I invite and name the group, for example "Dealers". Add people one by one or paste a list; Excel rows and the Ayşe Yılmaz <[email protected]> format are read.

Confirm

Click Make private. The page and its subpages become private within a few seconds, without approval. If Send links by e-mail is on, each person gets their own link.

Follow delivery in the group's People table. The Queued, Sent, Failed and Never signed in filters show who received and used their link.

Access from the office network

Create a network group

On the Groups tab, click New group. Set Type to Network, IP range.

Enter the IP addresses

Enter your office addresses in IP addresses and ranges, for example 203.0.113.0/24, with a note ("Office", "VPN"). Add my IP adds the address you're connected from right now.

Attach the page

On the group's page, type the page's address in the search box of the Pages card and click Attach.

Visitors from these addresses open the page without a password. Visitors from elsewhere can't find it.

Manage a group

Click a group to open its page.

Group details

Use Edit to change Name, Description and End date. The end date is optional and valid until the end of that day. An expired group lets nobody in; the page stays private.

Pages

  • Attach an existing page from the Pages card, or create a new page open to this group with New private page.
  • Open on site opens the private page for you with a key valid for 30 minutes.
  • Remove detaches the page from the group. The only group that opens a page can't be removed.

People

  • Add people with Add people. Up to 500 people can be added at once.
  • To renew someone's link, choose New link › Send by e-mail or Show on screen, you forward it. The old link stops working within a minute.
  • Create a personal password from the Password menu.
  • When you remove a person, their link and password stop working within a minute. Bring them back with Undo from the Removed filter.
  • Links and passwords shown on screen aren't shown again; copy them right away.
  • If a link was used from five or more different IP addresses, the row shows a may have been shared warning.

Group password

Person groups can have a single group password that everyone can use. Who signed in with the group password isn't tracked. When you renew or remove it, everyone who signed in with it is locked out within a minute; personal links aren't affected.

Group changes don't wait for approval

Changes to the group, people, links and passwords take effect immediately. Attaching a page to a group also takes effect immediately, because it can only narrow access.

Change access in page settings

Open the Access section in the page's settings. Choose Public or Private; when Private is selected, tick groups in the Which groups can open it? list.

Changes in this section go live with the page's approval; until then, the live access stays in effect. The page list shows this as Becoming private · in approval or Becoming public · in approval.

Making a page public always goes through approval

The only way to make a page public again is the Access section, and the change goes live once approved. Before saving, a window shows which subpages, lists and sitemap addresses the change affects.

How visitors get in

  • With the link in the e-mail. The link is valid for 30 days by default and never past the group's end date. The e-mail has a button for each of the group's published pages.
  • With a password. The group password or a personal password is typed into the password box on the sign-in screen. Password sign-in doesn't expire; it works until the password is renewed or the person is removed.
  • Without a link. The visitor types their e-mail address into the form on the sign-in screen. If the address belongs to a member of a group that opens the page, a link is e-mailed. The form doesn't reveal who is a member; the answer is the same either way.
  • The visitor can request a new link by typing their own address into the form on the site.
  • Or choose New link › Send by e-mail on the visitor's row in the group's People table.
  • If the group itself has expired, the visitor can't request a link. Extend the group's End date.

Sign-in screen and e-mail texts

The Site access groups › Sign-in tab (the same settings are also under Settings › Site access):

  • Text set: ready-made texts for the sign-in screen and the link e-mail. Neutral, Invitation, Launch / event, Internal and Dealer / partner each fill in the Turkish and English texts together.
  • Preview: the screen a visitor without a link sees and the outgoing e-mail, side by side. Send the e-mail to yourself with Send test. If you pick a group, the links in the test e-mail open that group's pages for 30 minutes; be careful who you send it to.
  • Customize: edit the texts one by one. An empty field uses a neutral default. It's best not to say on the sign-in screen that the page is private or what it contains; the address is visible to everyone.
  • Durations: how many days a link stays valid (1–365, default 30), and how many days before a group ends Site health warns (1–90, default 14).

Turkish pages use the Turkish texts; all other languages use the English texts. For e-mails to go out, an e-mail provider must be set up; see Settings › Mail.

Follow the warnings

Site health gives these warnings for private pages:

WarningWhen
Nobody can enter the private pageThe page has no group, all its groups have expired, or its groups have no people or IP ranges.
Access group is expiringA group's end date is near.
People who never used their linkSome people in the group never opened their link.

The Waiting for you card on the Dashboard screen also shows people who never entered a private page. Group and people changes are tracked in Change history with the Access group record type; see History, errors and visitors.
